2009 Fort-4-Fitness Transfer Policy

People who have registered for the 2009 Fort-4-Fitness Half Marathon or 4-Mile Run/Walk who no longer wish to participate may transfer their registration to another person. This option will be available online from August 24, 2009 at 8:00 AM EDT to September 12, 2009 at 11:59 PM EDT via the Fort-4-Fitness web site (http://www.fort-4-fitness.org). Transfers will only be accepted online regardless of the original method of entry (online or mail-in). There will be a $15 administrative fee payable by the person receiving the transferred entry.

To transfer a registration, the following procedure must be followed:

1) The person wishing to transfer their registration must find someone willing to receive or purchase their entry OR the person wishing to enter the race must find someone willing to give or sell them their entry. Transfers must be between the same event type (Half to Half or 4-Mile to 4-Mile). Transfers are not allowed from one event to the other. Fort-4-Fitness does not maintain a wait list or assist in finding matches.
2) The person transferring out must give the new person their confirmation code. This is a code that starts with a letter followed by a series of numbers that was listed on the confirmation email sent out on August 23, 2009 or available via the CONFIRM ENTRY link on the Fort-4-Fitness web site.
3) Fort-4-Fitness does not reimburse or refund the original entry fee to the original registrant. Therefore, the settlement of the original entry fee is the responsibility of the people involved with the transfer. Do not give away your confirmation code until the question of reimbursement of the original fees has been satisfied.
4) The person wanting TO ENTER the race must go to the Fort-4-Fitness web site and complete the registration process because the new registrant must electronically sign the race liability waiver and pay the transfer fee. During the registration process, the registrant must also enter the name and confirmation code (same as transaction code) of the original registration.
5) The new registrant must pay the $15 transfer fee online at that time.
6) The name and confirmation code will be verified and the original entry and race bib voided. An email will be sent to both parties to confirm the transfer. Please allow 3-5 business days for the emails to be sent.
7) All transfers are final. Fort-4-Fitness reserves the right to deny a request for any reason at its sole discretion. Fort-4-Fitness also reserves the right to change the terms and conditions of this policy at any time.

Important News and Changes

* Registrations will be capped at 5000 total for both races. Based on the success of the inaugural 2008 Fort-4-Fitness weekend, we expect both races to sell out again. The Fort-4-Fitness sold out at 11:59 PM EDT on 8/18/09.

* Mail-in registrations must be postmarked by 8/18 since that is the date the race sold out online. Mail-in registrations postmarked 8/19 or after will be returned to the sender.

* Online registration ended at 11:59 PM EDT on 8/18.

* There will be NO REGISTRATION RACE WEEKEND and LIMITED PACKET PICK-UP ON RACE DAY (see the FAQ section of the Fort-4-Fitness web site for more details). Please plan accordingly.

* The online registration process includes a 6% plus $0.89 processing fee. This is the same as last year.

* Entries fees are NON-REFUNDABLE and CANNOT be applied to future years. NO EXCEPTIONS! ENTRIES CAN NOW BE TRANSFERED. You may NOT SELL OR GIVE AWAY your race number to anyone else except by using the official transfer process. Participants found in violation this policy or found using someone else's race number are subject to disqualification. Repeat offenders may be barred from registering for the Fort-4-Fitness in future years. There are NO OFFICIAL WAIT LISTS. Any wait list offered by any person, business or organization is in direct violation of this policy and will not be honored. (However, organizations may choose to assist with matching people wanting to transfer in/out of the race)

* Participants in the 4-mile walk that wish to push a stroller (or non-competitive wheelchair) can now indicate and sign the waiver for the occupants during the registration process. Stroller occupants do not have to pay or register separately (they are included in the participant's entry) but for liability and insurance reasons we must have their names listed and a special waiver initialed. This should streamline the packet pick-up process. (The FAQs section on the web site contains information on what to do if you change your mind either way about walking with or without a stroller.)

* Competitive wheelchair athletes and those with disabilities are welcome. Please contact us at Race@Fort-4-Fitness.org to discuss how we can best assist you.

* We received an incredible response to our post-race survey. Last year's race was extremely successful and well-received. (See the 2008 Results section of the F4F web site for survey results.) We are working to make this year's race even better. We are taking all of your wonderful suggestions into consideration.

- We will provide a larger venue for packet pick-up and the Health Fair with better parking. The Health Fair and Packet Pick-up will be September 25, 2009 at Parkview Field with ample parking closeby.

- We are striving to provide on-course entertainment this year.

- To accommodate an increase in the number of participants and new start and finish locations, the courses for both races have changed. The F4F web site now has a link to the new course map. The races will start at the historic Baker Street Train Station at Baker and Harrison streets and will finish a few blocks away at home plate at Parkview Field. The Half Marathon course will be certified by race day. The courses are more shady and scenic, use wider streets with less traffic and have no hairpin turns.
